Pre-meeting briefings
Walking into a meeting cold means spending the minutes before it in call logs and inbox threads. A pre-meeting briefing does that prep for you: a set time before a scheduled video meeting starts, Orbit sends the meeting’s host a note covering the contact they are about to meet. Briefings are off by default and turned on per workspace, because each one carries an AI summary that is billed as AI usage. What a briefing contains
A briefing covers the one contact the meeting is with, and carries:- Contact details — name, company, email, and phone, as stored in your workspace.
- Recent calls and conversations — the contact’s latest touchpoints, so the host sees what was last discussed and where it left off.
- Open tickets — how many support tickets are still open for the contact.
- CRM link — a link to the contact’s record in your CRM, when you have one configured.
- AI summary — a short summary of what the contact has been in touch about recently.
Turn briefings on for a workspace
The setting is per workspace, and only owners and admins can change it. In the dashboard, open Voice → Video → Meetings and find the Pre-meeting briefings card:- Turn on Send pre-meeting briefings.
- Under Send before start, pick when the briefing arrives: 15, 30, 60, or 120 minutes before the scheduled start.
GET /api/v1/video/pre-meeting-briefing:
PUT /api/v1/video/pre-meeting-briefing. The write
requires an owner or admin and the video:write scope:
enabled—trueturns briefings on for every scheduled meeting in the workspace;false, the default, sends nothing.lead_minutes— how many minutes before the scheduled start the briefing arrives. The dashboard offers 15, 30, 60, and 120; the API accepts any integer from 10 to 240. Defaults to 30.
Workspaces that leave the setting off see no change: nothing is sent and
nothing is billed. Turning it on applies to every scheduled meeting in
that workspace, and to that workspace only.
Who gets a briefing, and where it lands
A briefing goes to the meeting’s host only. Guests and other participants never receive one. The briefing always appears in the host’s notification bell. It is also sent by email when the host has email turned on for Agents under Settings → Notifications. A host who has turned off every Agents channel gets no briefing: delivery follows each host’s own notification preferences, not the workspace setting.Which contact a briefing is about
Orbit identifies the contact for a meeting in two ways, in order:- The meeting’s linked contact, when the scheduled room has one.
- A registrant whose email matches exactly one contact in the workspace.
Billing
Each briefing is one AI-usage charge to the workspace, billed when the briefing is sent. That is why the feature is opt-in, and why the dashboard states the charge next to the switch. The lead time you pick does not change the charge.Reschedules
Each meeting gets one briefing. If you reschedule a meeting, the host gets a fresh briefing before the new start time.Contacts with no prior history
When the contact has no prior calls, conversations, or tickets, the host still gets a briefing: the contact’s details, open-ticket count, and CRM link remain, and the AI summary is left out with a note that there is no prior history yet.Where to go next
- Video meetings and conferences — create and schedule the room a briefing is sent for.
- Video API reference — the full scheduled-room endpoint surface, including the briefing setting.
